900 Marshy Cove Condo - Annual Events, Maintenance, and Inspection Plan

Mission: To create a safe, secure, and aesthetically appealing place to live.

Purpose of this plan: The following will provide a framework for scheduling routine maintenance and identifying problems at 900 Marshy Cove.  It includes inspections and maintenance that are required by code and well as activities to maintain and improve function and appearances of the building. Meeting dates are included.

1.       January

a.       Meeting of the Board of Directors, Second Saturday
                                                               i.      Review of previous year’s results
                                                             ii.      Announcement of annual plan

b.      Fire System Inspection

c.       Prioritize and identify building repairs

d.      Identify projects funded from reserve account

2.       February

a.       Carpet cleaning, Hallways and lobby

b.      Clean Utility areas, Electrical room, Elevator rooms, lobby storage rooms,

3.       March

a.       Landscape committee recommendations: Spring plantings

b.      Exterior stone work inspection

4.       April

a.       Site walk to identify building repairs

b.      Garage: Hot power wash

c.       Previous year’s Audit review and approval

5.       May

a.       Annual Meeting of Members, Second Saturday

                                                               i.      Election of Directors & Officers

b.      Hallway heat pumps 1st  and 4th floor

                                                               i.      AC switch to Cool mode & check

                                                             ii.      Hallway filter replacement

                                                            iii.      Hallway condensate line bleach treatment

c.       Lobby

                                                               i.      AC switch to Cool mode

                                                             ii.      Lobby air filter replacement

                                                            iii.      Lobby condensate line bleach treatment

6.       June

a.       Service water booster pumps - EMS

b.      Recommend Bleach treatment of AC to Unit owners

7.       July

a.       Site walk to identify building repairs & projects

8.       August

a.       Budget suggestions soliciting of owners

b.      Develop financial requirements for repairs & projects

9.       September

a.       Budget Preparation Board Meeting September, Second Saturday

b.      Decide on priority of next year’s project using estimated costs

c.       Review of insurance policies and contracts

10.   October

a.       Exterior stone work inspection

11.   November

a.       Budget Approval Board Meeting, Second Saturday

b.      Fire Extinguisher Inspection

c.       Hallway heat pumps 1st  and 4th floor

                                                               i.      AC switch to Heat mode & check

                                                             ii.      Hallway filter replacement

                                                               i.      AC switch to Heat mode

                                                             ii.      Lobby air filter replacement

e.      Garage Overhead Heater

                                                               i.      Check system for heating mode

                                                             ii.      Check  for proper set point ~65-70 degf

                                                            iii.      Change Air filter
