Attic Sprinkler System Rebuilding

ARK Fire Systems will begin work on our Attic Sprinkler system on Monday, May 3.

You should have noticed the galvanized pipe stored on the West side lawn.



Work will continue for four to five weeks.

This is difficult work. All of the pipe in the attic will be removed and hauled off.

The workman will need to carry all the pipe by hand up and down the stairway.

During the workday, the fourth-floor residents will hear footsteps as the workman walk the rafters. 

The end result will be a properly pitched piping system that will properly drain water after testing. Galvanized pipe should extend the life of the piping for many more years than we have experienced to date.

Hopefully, this will eliminate false alarms caused by pin-hole air leaks in the system.

Deep Harbour Master Association Elects Officers for 2020-2021

The DH Master Association Board of Directors elected a new slate of officers on Monday evening. After much discussion on succession planning, the board voted and installed its new officers.
Each will hold their respective positions until the next Annual Meeting scheduled for June 2021.

We ask each owner to take an active interest in the affairs of the DHMA and your individual condo associations.  Your support is critical to making Deep Harbour a great place to live.

About the DHMA

The Deep Harbour Master Association is the governing corporation for the common areas within the Deep Harbour Community.

The Association has been formed to provide for the ownership, maintenance, repair, snow moving, trash collection, landscaping, replacement and management of the Property and Recreational Facilities, including the storm-water management facilities for the use and benefit of the Units. This includes budgeting and execution of the financial plan which includes reserve funds for long-term replacement of the common elements. The DHMA is obliged to follow the Declaration and Bylaws of the Association.

The DHMA is subject to the Maryland State laws governing Home Owner Associations (HOA's).

The DHMA Board of Directors is composed of members from each of the sub-associations the compose the Deep Harbour community. Each sub-association board appoints a representative to the DHMA board. Each sub-association has one vote. 

The seven sub-associations which include 169 units are represented on the DHMA:
(94 vacant lots are owned by Beazer.)

  • 700 Cattail Cove (48 Units)
  • 900 Marshy Cove (48 Units)
  • Townhouse 1 (34 Units)
  • Townhouse 2 (16 Units)
  • Townhouse 3 (13 Units)
  • Townhouse 4 (NONE) (Beazer-vacant seat)
  • Townhouse 5 (10 Units)
The board elects its officers annually at the Annual Meeting of the "Council of Unit Owners".

The Board of Directors meets on a regular basis to discuss and decide on actions to manage, protect, maintain, and improve the common elements on the Deep Harbour property. Sentry Management is currently contracted to manage much of the day-to-day business of the association at the direction of the DHMA BOD. This includes issuing work-orders, qualification of vendors, contract management, accounting, consultation, and general operations.

Location: Dorchester Library plus Video Conference.

The Master Association has scheduled the Annual Meeting for Friday, June 5, 2020 at 7:00 PM.
Every year, the meeting has been staged at the Dorchester Public Library.  The library meeting room has been closed for the summer; therefore, a face-to-face meeting is not possible in deference to COVID-19 restrictions. 

An on-line video conference link has been sent to all owners by first class mail.

Since multiple attendees will be engaged on the video conference, it will be difficult to manage the conversation. So, a few rules will be in place.  
  • All non-board members will be initially muted. The mike will be opened to the members if comments by members are in order.  
  • Written requests by email or US mail will be given priority. Those individuals who have submitted queries will be un-muted to ask their question, make a motion from the floor, or comment. 
  • Each speaker shall announce their name and sub-association. The video conferencing software provides a chat window which will enable viewers to ask questions during the meeting.
  • With your meeting invitation mailer, there will be a proxy form and a form for submit a question or make a comment. 

Even if you plan to attend the video conference call meeting, it is encouraged that you complete the proxy form. Please indicate if you plan to attend the Video Conference.

900 Marshy Cove News, April 23, 2020

> We expect the carpeting installation to be completed by Friday.  The materials have arrived at the installers warehouse. 

> The 900 Marshy Cove Annual Meeting of Members has been postponed. No date has been set. The meeting will be announced by USPS mail. You can expect a July or August date.

> We are still looking for a board member. please submit your nomination to mc900@comcast.net.  Nominate yourself! I am sure you cannot think of anybody more knowledgeable, creative, and noble than yourself. 

> Please be mindful of the best practices regarding the COVID-19 restrictions. We have many vulnerable people residing here at 900 MC. Please wear a face-covering mask in the common areas. Please limit visitors. Sanitize before entering common areas and after leaving common areas.  Our cleaning staff has been using more aggressive antiseptic wipers.

> The board is assessing lighting improvements for the garage. Automatic door openers for the garage to lobby doors are also under evaluation.

> Health tip: Oxygen levels in the blood are a critical measurement. A drop in blood oxygen percentage could be a sign of a respiratory infection. You can buy an oxygen sensor called an Oximeter at the pharmacy or on Amazon. They cost around $50-$60. You may have trouble finding one as there are few left on the shelf. Click here for Amazon Oximeter

900 Marshy Cove Meetings postponed

To All Owners at 900 Marshy Cove,

Our scheduled Regular meeting of the Board of Directors on April 9th has been postponed.
Also, Our Annual Meeting of Members scheduled for May 9th has also been postponed.
Once the Maryland statewide restrictions are lifted, we will re-schedule our meetings.
The Annual Meeting is required by the state condo law and our governing documents.
So it is imperative that we conduct the meeting as soon as possible.

In the meantime, the board of directors will rely on electronic communications to resolve critical business.  We will utilize Sentry's "Email Blast" utility to broadcast any significant events. Also, this blog site is the electronic bulletin board.

The board will have an open seat on May 9. Our longest-serving director, Shirley Moore, will be retiring. Shirley has served since 2008 when the board first formed. She led the association as President for 6 years and as Vice President since. We thank her for her diligent service.
*We are seeking nominations for a new director.

January 2020- March 2020 Accomplishments
Hallway carpeting completed on floors 3 & 4.  More carpeting material is needed to complete the 1st and 2nd floors.

- Vinyl flooring installed at the elevator waiting areas and inside elevators.
- Garage lighting has been improved in darker areas. More improvement is will be evaluated.
- Exterior Lighting in front entrance has been improved with LED fixtures
- Housekeeping & Maintenance Committee: Established to better manage cleaning & repair services.  Contract awarded to 2020 Cleaning Service in January.
- Fire System: A meter has been installed to record the time that the air compressor runs. This monitoring device will provide advance warning of air leaks that may cause false alarms.
- Replacement Water Heater: Replacement model number and installation sources identified. A Tankless option has been identified.

Current 2020 Projects:
- Professional carpet maintenance. Contract to be awarded for spot cleaning and annual cleaning. Residents should not attempt to clean the new carpets. Spills should be reported.
- Updating Contact information for owners and tenants to improve communications.
- Lobby: Ceiling lights will be replaced with LED fixtures.

Future 2020 projects:
- Landscaping and Gardening:  $3500 is budgeted for future plantings in 2020 and maintenance of the gardens surrounding 900 Marshy Cove.  Regular service by a gardener will be contracted.
- Painting of stairway floors and landings: Gripping surface paint will be applied
Security cameras: Upgrade of video recording device and the addition of external cameras is under study.
Other Issues:
- Fire Safety: The 2020 budget will need to accommodate possible repairs to our dry sprinkler system. The pipeline has continually produced air leaks.
- Pets and Pet Committee: All known pet owners have been notified to renew their pet registration. Pet registration and fees are due by March 31, 2020.

Upcoming events: Carpeting, Meetings

Carpet Installation
All residents should be aware that new carpeting will be installed in mid-January.
The tentative date to start work is the week of January 13, 2020.

This will create disruption as the old carpet is removed and hauled out and the new carpet is laid down.
You can expect some difficulty walking through the hallways.
One of the elevators will be in service mode. So, only one elevator will be available for residents during the day.
Of course, you will need to remove any ornaments that may interfere with the installation.

We will announce more details of the plan so, residents can prepare for whatever upsets this work will cause.

Other Projects
The board is considering improving lighting in the lobby by replacing fixtures with more efficient LEDs.
Also, improving exterior lighting in the front of the building.
The board will also consider upgrading our camera surveillance system to include exterior cameras.

New Security System to be installed

900 Marshy Cove Condominium Association
All residents at 900 Marshy Cove
Recently our front door entry call box failed after 11 years of service.  
The replacement plan is as follows: 
~~Install a temporary keypad to secure the front door.
~~Install a FOB electronic key system to secure both lobby entrances.
The new system will include a call box for visitors and a FOB reader at each lobby door, 
The system will create a record each time a fob is used to enter the building.
Owners, tenants, and visitors will no longer use the "code" to enter.  A universal code will not be available. Special codes will be assigned to regular delivery service people like the USPS, UPS, and Fed Express. 
Visitors will use the call box. The box will call the resident, the resident can then release the door from their phone.  If a cell phone is used, the resident need not be on the premises.
If a FOB is lost or stolen, the fob can be deactivated.  A new FOB can be assigned to the unit owner.
There will always be some special situations that will require workarounds, so, a little patience may be required.

Temporary Keypad: (installed 5/3)
To enter the front door lobby, two codes will work.
The keypad requires a four digit number plus the “Star Key”
See notice at the front door for the codes.
If you still have difficulty, call the resident that you are visiting or Sentry Management.

Long-term replacement:
A new access system is on order. The system will allow access by the presentation of a FOB.
All FOB’s will be registered. If a FOB is lost, it can be de-activated.
The system will also include a call box for visitor access.
Each unit will be assigned two FOBs. Extra FOBs can be purchased. ($8.00 each)
We expect the system to be installed before May 31.
We expect to distribute FOB’s before it is operational. At that time will collect contact information.

What is a FOB?
It is a token that fits on your keychain: an electronic key.
An electronic chip inside activates the reader and unlocks the door.

900 Marshy Cove Board of Directors: Position Open

To all Owners at 900 Marshy Cove,

A Board of Directors position is currently open. Any owner interested in the future of our building and our Deep Harbour Community is strongly encouraged to apply. 

The Board of Directors has four regular meetings usually scheduled on the Second Saturday of January, March, September, and November.  The board also hosts the Annual meeting of all Members on the second Saturday in May.

The board is responsible for the annual budget and directing Sentry Management in the execution of the annual maintenance and improvement plan.
